When hotel procurement managers and FF&E consultants contact us for the first time, they ask roughly the same ten questions — in the same order. After years of supplying wall art to hotel chains, boutique properties, and commercial interiors across the US, Middle East, and Europe, we have learned that these questions are not really about product specs. They are about risk: will the pieces arrive on time, look consistent, and survive the install inspection.

This guide answers those questions directly. No sales language. Just what you actually need to know before placing a bulk hotel wall art order.

1. What is the minimum order quantity?

Minimum quantities and mixed-design options are confirmed by project scope, format, and production requirements.

Mixed SKUs can combine sizes, finishes, and subjects when the format, packaging, freight handover, and delivery scope are agreed. Final dimensions are reviewed against the installation plan.

2. What finishes and formats are available?

Our standard production covers four formats:

Giclée canvas prints — pigment-ink options, gallery-wrapped or framed. Color review and any batch documentation are specified by project.

Handcrafted impasto oil painting — pigment applied layer by layer on linen or cotton canvas. Each piece is unique; small texture variations are normal. Timing is confirmed by project scope.

Framed fine art prints — crystal film, crystal porcelain, or aluminum substrate, in metal or wood frames. Timing is confirmed by project scope.

3D UV relief panels — raised surface texture produced by UV print layering. Suitable for feature walls, lobbies, and corridors. Timing is confirmed by project scope.

All formats are available in custom sizes. Frame finish options include matte black, brushed gold, natural wood, and white.

3. How do you handle color consistency across a large order?

This is the question that separates buyers who have been burned before from those who have not.

If formal colour measurement is required, specify the reference proof, method, instrument, sample scope, acceptance threshold, and reporting responsibility. Pre-shipment photography or third-party measurement is included only when agreed in the project terms. For a side-by-side format comparison, see our giclée vs oil painting comparison guide.

For handcrafted oil pieces, a photograph-based review can be included when agreed. The reference, lighting, acceptance criteria, and any correction or remedy responsibility should be stated in the project terms.

4. What is your lead time for a 200-room hotel project?

A multi-room project is planned from the room categories, format mix, approved artwork, quantity, packaging, and destination. Capacity and scheduling are reviewed against the current project brief.

For a multi-room project, production and freight timing are confirmed after the format mix, approved artwork, quantity, destination, and delivery scope are reviewed.

Share the installation window in the project brief so the available production schedule and delivery plan can be reviewed before approval.

5. Do you provide samples before the main order?

Yes. Sample scope, size, substrate, finish, review steps, timing, and any applicable cost are confirmed before the project is approved.

6. What compliance documentation do you provide for US shipments?

For US-bound shipments, review the documents required for the specified material, product configuration, and destination:

  • Commercial invoice and packing list
  • Country of origin certificate (China, Xiamen)
  • Material safety data sheet for frame adhesives and coatings
  • Framing materials documentation for import compliance

For California-specific projects, buyers should confirm CARB, TSCA, and Proposition 65 requirements with their broker or compliance advisor. Material composition and documentation are reviewed by project scope.

Do not treat a certification name as evidence without the original report, scope, date, formulation, and issuing party. If third-party inspection is required, the provider, access, scope, timing, and quotation are confirmed in the project terms.

7. What are your payment terms?

Payment method, deposit, balance, and approval milestones are stated in the project quotation and agreed before production begins.

8. Can you work from a designer's artwork files or a mood board?

Yes. We receive artwork as:

  • High-resolution TIFF or PDF at a resolution suitable for the approved output size and viewing distance
  • Layered AI or PSD file for color adjustment
  • Physical artwork for studio photography and digitization

If you provide a mood board or color palette without specific artwork, our studio can source or create artwork to match — subject to copyright clearance on any referenced works.

We do not use AI-generated imagery in production files unless the client explicitly requests and approves it.

9. How do you handle shipping and installation?

Freight handover, destination, route, and nominated forwarder are confirmed in the project quotation. The freight contract and customs clearance remain with the buyer and their chosen forwarder unless otherwise agreed in writing.

Each piece is individually poly-wrapped, corner-protected, and packed in double-wall corrugated export cartons. For framed pieces over 100cm, we use wooden crates.

We do not provide installation services directly, but we can supply hanging hardware specifications and installation guides for your local contractor.

10. What if pieces are damaged in transit?

Pre-shipment photographs and packing documentation can be reviewed as part of the agreed project process. If a shipment issue occurs, document it at delivery and follow the inspection, freight, and remedy responsibilities stated in the project terms.

Why project coordination matters for hotel projects

Project coordination keeps the brief, sample approvals, material documents, quality review, and delivery responsibilities in one written workflow. Compare the complete service scope rather than assuming a fixed margin or route advantage.

Qitong Arts coordinates documented project workflows through partnered specialist facilities in Xiamen. Our team reviews the brief, sample approvals, material documents, packaging, and delivery responsibilities for each project.

We do not work with every client who contacts us. We ask about the project scale, timeline, and decision-making process before quoting — not because we are being selective, but because a hotel project with a fixed installation date is a different supply chain challenge than a retail order, and we want to be honest about whether our current schedule can accommodate it.
